Telecalling CRM

The telecalling CRM built around the dialer

Most CRMs are built for managers, with a call button added later. CRM Dialer starts with the telecaller's phone: the queue, the call, the outcome, the next call. Managers get the numbers as a by-product of the work, not as extra data entry.

01A day on the floor

9:30 to 6:30, one call at a time

Here is an illustrative day in a 12-person telecalling team. The names are made up; the routine will be familiar to anyone who has run a sales floor in India.

9:30 am. Priya opens the CRM Dialer app on her Android phone. Her queue already has 64 leads: 11 fresh Facebook leads from last night at the top, then today's callbacks, then older leads due for a second attempt. She doesn't scroll through Excel looking for who to call. She taps start.

9:31 am. The first call goes out from her own SIM. While it rings, she sees the lead's name, source, the ad they responded to and the one note from the form: "Need info for my son, Class 11". The call lasts four minutes. When it ends, an outcome screen appears. She picks Callback, sets 6 pm because the father works late, and sends the course brochure on WhatsApp with one tap. Three seconds later, the next call is ringing.

11:00 am. Rakesh, her team lead, checks the live board on his laptop. Two telecallers show zero talk time since 10:15. One has a phone problem; the other is stuck on an old list with bad numbers. He also sees 14 untouched leads from a new Google Ads campaign and reassigns them to the two people with the shortest queues.

4:00 pm. Priya's callbacks start popping up on time, each with the history of the last conversation. Nobody has to remember anything.

6:15 pm. The day's numbers are already there: dials, connected calls, talk time, outcomes, first-call time on new leads. Rakesh listens to three synced recordings for tomorrow's huddle. No one fills in an end-of-day report, because the work itself was the report.

02The idea

Why the dialer has to come first

In most teams, the CRM is something you update after the call. So it is always a little out of date, and the call log on the phone tells a different story from the pipeline on the screen. Managers stop trusting the CRM and go back to asking people what they did.

When the dialer and the CRM are the same app, the record updates because the call happened. The call is logged with its duration, the outcome is captured before the next call can start, and the follow-up is created from the outcome. That is what we mean by a telecalling CRM built around the dialer. See how the power dialer and auto dialer modes work.

  • Calls logged automatically: incoming, outgoing, missed, rejected and connected
  • Outcome required before the next call, so no lead is left without a status
  • Follow-up reminders created from the outcome, not from memory
  • Talk time measured from the phone, not self-reported

03Buyer's checklist

What a telecalling CRM must have

SIM calling from an Android app
Telecallers call from their own or company SIMs. No VoIP setup, no PBX, no number porting. Customers see a normal mobile number, and field reps can use the same app on the move.
A dialing queue, not a contact list
The next lead dials automatically when the last call ends, with new leads and due callbacks first. This is where most of the time saving comes from.
Call outcomes that drive the next action
Interested, Callback, Not reachable, Wrong number, Not interested, Do not call. Each one sets a next step or closes the lead cleanly.
Lead capture from the sources you actually use
Facebook and Google lead forms, IndiaMART, JustDial, property portals, website forms and Sheets, without paying extra per integration. See lead management.
Automatic lead assignment
Round-robin or rule-based, so leads reach a telecaller within minutes, with escalation when a lead sits untouched.
Call recording sync
Recordings from the phone's built-in recorder are synced to the lead on supported Android devices. Be wary of any app that promises automatic recording on every phone; Google Play policy no longer allows that. More on call recording.
WhatsApp and SMS after the call
Approved WhatsApp templates through the official Business API, and SMS through DLT-registered templates, sent in a tap from the outcome screen.
Reports a manager can act on
Talk time, calls per agent, connect rate, first-call time on new leads, working hours and leaderboards, by day, team and source.
Compliance controls built in
DND/NCPR scrub on imported lists, consent and source on every lead, an opt-out list and an audit log.

Truecaller’s 2025 data puts India’s spam intensity at 66%: two in three calls from unknown numbers are spam.

05Pick-up rates

Getting answered when everyone screens calls

Indian customers have learned to ignore unknown numbers, and a spam label on your telecaller's number can cut your connect rate overnight. You can't control Truecaller, but you can control most of what decides whether a call gets picked up.

Call people who asked to be called, and call them fast, while they still remember filling in the form. Keep each telecaller on a consistent number rather than rotating SIMs. Send a short WhatsApp message before a second attempt so the person knows who is calling and why. And stop calling people who say no; the Do not call outcome in CRM Dialer handles that for you.

There is one more change coming. As reported by Inc42, the Department of Telecommunications has directed telcos to show caller names through CNAP on 4G and newer networks from 1 November 2026. CNAP shows the name the number is registered under, so it is worth checking that your sales SIMs are registered in the business's name.

06For managers

What the team lead sees without asking

Telecallers work on the phone. Managers work on the web dashboard, which runs in any browser.

Real time

Live team board

Who is on a call, who has been idle for 20 minutes, how many leads are untouched and whose callbacks are overdue. Spot the problem at 11 am, not at the evening review.

Reports

Talk time and working hours

First call, last call, total talk time and gaps, per person per day, measured from the phone.

Speed

First-call time on new leads

How many minutes each telecaller takes to reach a fresh lead. The single most useful speed number.

Quality

Connect rate by source

See which campaigns and portals give you numbers that pick up, and which give you wrong numbers.

Motivation

Leaderboards

Daily and weekly rankings on calls, talk time or conversions that keep a floor competitive.

Coaching

Recording review

Listen to synced recordings from the lead page to coach on real calls, not role-plays.

07SIM or cloud

Mobile-first SIM calling vs. desk-first cloud calling

Both have their place. CRM Dialer uses SIM calling by default and offers cloud calling as an add-on for teams that need it.

Predictive dialing needs cloud lines; it isn't possible on a personal SIM. Compare plans on the pricing page.

FAQ

Telecalling CRM: common questions

What is a telecalling CRM?

It is a CRM designed for teams that sell mainly over the phone. Instead of starting with deals and reports, it starts with the call: a queue of leads to dial, one-tap calling, outcome capture after every call, follow-up reminders and reports on calls and talk time. Lead capture and assignment feed the queue automatically.

Does CRM Dialer work on iPhone?

The calling app is Android-only, because iOS does not let apps read call logs, which SIM call tracking depends on. Managers can use the web dashboard on any device, including Mac and iPad.

Do my telecallers need new numbers?

No. They call from the SIMs already in their phones, personal or company-issued. If you want virtual numbers, IVR or masked calling, you can add cloud calling later.

Can calls be recorded?

On supported Android devices, CRM Dialer syncs recordings made by the phone's built-in call recorder and attaches them to the lead. We don't claim automatic recording on every phone because Google Play policy restricts third-party call recording. Tell customers that calls may be recorded; the app can prompt your team to do so.

How is this different from a free auto dialer app?

A dialer app dials numbers. A telecalling CRM also knows who each number is, where the lead came from, what happened on the last call, when to call next and who owns the lead, and gives the manager reports across the team. That context is what turns more calls into more conversions.

Can I try it before paying?

Yes, there is a 14-day free trial with monthly billing afterwards. See pricing.
