Real estate CRM

From portal enquiry to site visit, faster

Property enquiries land on the right sales executive's phone within minutes, sorted by project. Every call ends with a next step: a callback, a WhatsApp brochure with the location pin, or a site visit on the calendar.

01Lead sources

Every portal and campaign, one queue

A typical Indian developer or brokerage pays for two or three portals, runs Facebook campaigns for each launch and still gets walk-ins and channel partner referrals. CRM Dialer brings all of it into one place, and every connector is included on every plan. Details on the <a href="/integrations/">integrations page</a>.

Portals

99acres, MagicBricks and Housing.com

Portal enquiries sync into CRM Dialer with the listing or project they came from, the buyer's message and the time of enquiry. Your sales team stops logging into three dashboards and copying numbers into Excel between calls.

Launches

Facebook and Instagram Lead Ads

Launch campaigns bring heavy lead volume in short bursts. Each lead carries its campaign name, so it can be tagged to the right project automatically.

Search

Google Ads lead forms

High-intent searches like "2 BHK near Hinjewadi" arrive tagged with the campaign and keyword group.

Web

Project microsites

Enquiry and "download brochure" forms on your project pages post leads straight into the queue, with UTM tags kept.

CPs

Channel partner referrals

Brokers register their buyers through a form or sheet, and the CP's name is stored on the lead from the first minute.

Offline

Hoardings and calls to the site office

Incoming calls to your executives' phones show up in the call log, so an unknown caller from a hoarding can become a lead in one tap.

02The workflow

Enquiry to site visit to booking

In real estate the call is rarely the sale. The first job of the call is a site visit. Here is how the journey runs in CRM Dialer.

  1. 01

Enquiry lands, tagged to a project

A buyer enquires about a 3 BHK on MagicBricks at 8:40 am. CRM Dialer reads the listing, tags the lead to your Baner project and checks whether the same number has enquired before.

  2. 02

    First call within minutes

The lead goes to the top of the Baner team's queue. The executive dials from their own SIM and qualifies: configuration, budget, possession timeline, self-use or investment, and whether a home loan is needed. Answers go into custom fields, not a notebook.

  3. 03

Site visit booked in the outcome screen

The executive picks Site visit scheduled, sets Saturday at 11 am and sends the buyer a WhatsApp template with the brochure, floor plan link and Google Maps pin for the sales office.

  4. 04

    Reminders on both sides

The buyer gets a WhatsApp reminder the day before. The executive and the site team get a task. If the buyer cancels, the lead goes back into the queue for a reschedule call on Monday.

  5. 05

    Post-visit follow-up

After the visit, the lead moves to negotiation. Follow-ups continue on a set cadence, with every call, WhatsApp message and visit on one timeline, until the buyer books or closes the lead.

03Routing

Route by project, not just round-robin

A developer with three live projects doesn't want a villa buyer in Lonavala handled by the executive who knows only the Wakad towers. Each project has its own team, price sheet and site office. Your CRM should know that.

In CRM Dialer, leads are tagged by project from the portal listing, campaign name or form, and then routed to that project's team. Within the team, distribution can be round-robin or weighted towards your strongest closers. Brokerages can route by locality or micro-market instead. NRI enquiries can go to the evening shift, and leads can be matched to executives who speak the buyer's language.

  • Project-wise teams, each with its own pipeline stages
  • Locality or micro-market routing for resale and rental brokers
  • Language and time-zone rules for NRI buyers
  • Repeat enquiries stay with the executive who already owns the buyer
  • Untouched leads escalated to the sales manager after the time limit you set

04What to measure

KPIs real estate sales heads actually track

First-call time on portal leads
Minutes from enquiry to first call, per executive and per portal. A buyer who enquired on three portals will visit whoever calls first.
Connect rate by source
Which portal or campaign gives you numbers that pick up. Wrong-number outcomes show you where the lead quality problem really is.
Site visits scheduled vs. completed
The gap between the two is where reminders and confirmation calls pay for themselves.
Visit-to-booking ratio
By project and by executive. It tells you whether the problem is the pitch on the phone or the experience at the site.
Cost per site visit
Lead source is stored on every lead, so you can set your monthly portal and ad spend against the visits each source produced.
Overdue follow-ups
Buyers in the negotiation stage who haven't been called in the time you set. These are the most expensive leads to lose.
Talk time per executive
Measured from the phone, so you can tell a quiet week in the market from a quiet week on the sales floor.

05Real life

Weekends, site offices and channel partners

Property enquiries spike when buyers have time: Friday evenings, Saturday mornings, Sundays and the days after a launch ad runs. That is exactly when your executives are standing in a sample flat with a family, not sitting at a desk. CRM Dialer is mobile-first. The queue, the call, the outcome and the WhatsApp brochure all happen on the phone in their pocket, so a ten-minute gap between site visits becomes six follow-up calls.

Channel partners bring a large share of bookings for many developers, and attribution disputes are common. When a CP registers a buyer, the CP's name and the registration time are stored on the lead. If the same buyer later comes in through a portal, duplicate detection flags it on the existing lead instead of creating a second one. That gives you a clear record when it is time to settle brokerage.

  • Weekend leads go to whoever is on duty, not to someone on leave
  • One-tap WhatsApp brochures and location pins from the site
  • CP name and registration time stored on every referred lead

FAQ

Real estate CRM: common questions

Does CRM Dialer integrate with 99acres, MagicBricks and Housing.com?

Yes. Enquiries from all three can sync into CRM Dialer automatically, along with Facebook and Instagram Lead Ads, Google Ads lead forms and your website forms. All connectors are included on every plan. Your portal subscription needs to give you access to your leads; we'll help you set up each one. See integrations.

Can I route leads by project or locality?

Yes. Leads can be tagged by project from the portal listing, campaign name or form, then routed to that project's team. Brokers can route by locality, and you can add rules for language, NRI time zones and working hours.

How does site-visit booking work?

The executive picks a site-visit outcome at the end of the call and sets the date and time. CRM Dialer creates a task for your team and can send the buyer a WhatsApp template with the location pin, plus a reminder before the visit. Completed and missed visits show up in your reports.

Can we track channel partner leads?

Yes. Store the CP's name and registration time on each referred lead. If the same buyer comes in again from a portal or ad, duplicate detection flags it on the existing lead, which helps when brokerage is being settled.

Is CRM Dialer RERA compliant?

We don't make any claims about RERA. CRM Dialer is sales software and doesn't review your registrations, disclosures or ads. It helps with calling hygiene: DND scrubbing, consent and source records, an opt-out list and audit logs. For RERA questions, speak to your legal adviser.

Will it work for a small brokerage with five people?

Yes. Plans are per user per month with monthly billing, so a five-person team pays for five users. Start with the 14-day free trial on the pricing page.
