Lead management

Every enquiry captured, assigned and called first

CRM Dialer pulls leads from portals, ads and website forms into one queue, removes duplicates, assigns them by your rules and puts them on a telecaller's dialer within minutes. Leads nobody touches get escalated, not forgotten.

01The real problem

Leads don't go cold. They go unworked.

A Facebook lead comes in at 9:47 pm. An IndiaMART buy-lead arrives during lunch. Someone forwards a JustDial enquiry to the sales WhatsApp group with "pls call". By the next morning, three people have seen these leads and nobody has called them.

That is how most Indian sales teams lose business. The leads are not bad. They sit in five different inboxes, an Excel sheet that two people edit at once and a WhatsApp group nobody scrolls back through. Good lead management software in India has one job before anything else: get every enquiry into one place, in front of one owner, with a clock running.

  • One queue for every source, sorted with the newest leads on top
  • One owner per lead, assigned automatically the moment it arrives
  • One next step on every lead, so nothing sits without a date

US firms that responded to a web lead within an hour were nearly 7× as likely to qualify it as firms an hour slower.

03Lead sources

Every place your leads come from, in one queue

That HBR audit is US data from 2011, so read it as direction rather than a promise for your funnel. The same study found 23% of firms never responded at all. Speed starts with capture, so every source below is included on every plan. See the full list on our <a href="/integrations/">integrations page</a>.

Ads

Facebook and Instagram Lead Ads

Leads from Meta lead forms arrive in CRM Dialer seconds after the form is submitted, with the campaign, ad set and form name stored on the lead. Your telecaller knows which offer the person responded to before saying hello.

Ads

Google Ads lead forms

Lead form extensions push straight into your queue, tagged with the campaign, so you can see which keywords bring callable leads.

B2B portals

IndiaMART, JustDial and TradeIndia

Buy-leads and enquiries sync automatically. No more logging in to the seller panel every hour to copy numbers into a sheet.

Property

99acres, MagicBricks and Housing.com

Property enquiries come in with the listing or project they were about, ready for project-wise routing.

Web

Website and landing page forms

Connect WordPress or any custom form, and store the page URL and UTM tags with each lead.

Import

Google Sheets, CSV and Excel

Import old data or event lists in bulk. Imported lists are checked against DND/NCPR before anyone dials.

Developers

Zapier, Pabbly, webhooks and API

If a tool can send a webhook, it can create a lead. Use this for chatbots, aggregators and your own apps.

04How it works

From form fill to first call in five steps

Here is what happens to a single lead from the moment it is created. You set the rules once; the system runs them on every lead, at 3 pm or 3 am.

  1. 01

    Capture

The lead arrives from its source with name, phone, source, campaign, consent text and timestamp. Custom fields like city, budget, course or loan amount are mapped automatically.

  2. 02

    Clean

CRM Dialer checks the phone number against existing leads. If Ramesh enquired on 99acres last week and on Facebook today, you get one lead with two touchpoints, not two telecallers calling him ten minutes apart.

  3. 03

    Assign

Your assignment rules pick an owner: round-robin, by source, by city, by language, by product or by who is on shift. The lead lands on that person's phone with a notification.

  4. 04

    Dial

New leads jump to the top of the telecaller's power dialer queue. One tap starts the call from their own SIM, and the outcome is recorded the moment the call ends.

  5. 05

    Follow up or escalate

Every outcome sets the next step. If a new lead stays untouched past your limit, say 15 minutes during working hours, it is flagged to the team lead and can be reassigned automatically.

05Assignment rules

Distribution that matches how you sell

Plain round-robin works for a team of four. It breaks the day you hire a Tamil-speaking telecaller for Chennai leads, put your best closer on high-ticket enquiries, or split the floor into morning and evening shifts.

CRM Dialer lets you stack rules in order. The first rule that matches wins, and anything left over falls back to round-robin. Change a rule on Monday morning and it applies to the next lead, with no IT ticket and no re-import.

  • Round-robin or weighted, so seniors can take a larger share
  • By source: IndiaMART leads to the B2B desk, Facebook leads to the inside sales team
  • By city, state or pin code for regional teams and branches
  • By language preference captured on the form
  • By product, project or course
  • By working hours, so nobody gets leads while on leave or off shift
  • Daily caps, so one person isn't buried while others wait

06Before and after

Excel and WhatsApp groups vs. a real lead system

Most teams we speak to are running on some version of the left-hand column. It works until volume grows or someone quits.

Speed-to-lead figures cited above come from a 2011 US study published in Harvard Business Review. Your results will depend on your market, offer and team.

07Dispositions and follow-ups

Every call ends with an outcome and a next step

Interested
Moves the lead forward in your pipeline and asks for a follow-up date. Optionally sends a WhatsApp template with the brochure or price list.
Callback
The telecaller picks a time. At that time, the lead appears at the top of their queue with a reminder.
Not reachable / switched off
Retried automatically at a different time of day, up to the number of attempts you choose, before it is marked cold.
Wrong number
Closed and excluded from reports on connect rate, so bad data from one source shows up clearly.
Not interested
Closed with a reason (price, timing, bought elsewhere), so you learn why leads drop rather than guessing.
Do not call
Added to your opt-out list with a 90-day lock on asking for consent again, in line with the TRAI rule on re-seeking consent after an opt-out.
Meeting, demo or visit booked
Creates a dated task, a reminder for the customer and a reminder for your rep the day before.

FAQ

Lead management: common questions

What does lead management software actually do?

It collects enquiries from every source into one list, removes duplicates, gives each lead an owner, and tracks every call, outcome and follow-up until the lead converts or closes. In CRM Dialer the dialer is part of the same system, so the call and the record update together and nobody has to type up their day at 6 pm.

Which lead sources can I connect?

Facebook and Instagram Lead Ads, Google Ads lead forms, website forms, IndiaMART, JustDial, TradeIndia, 99acres, MagicBricks, Housing.com, Google Sheets, CSV or Excel uploads, and anything that can send a webhook through Zapier, Pabbly or our API. All of them are included on every plan. See integrations.

How does duplicate detection work?

When a lead arrives, CRM Dialer matches the phone number (and email, if you choose) against existing leads. A match is merged into the existing record with the new source added, and stays with its current owner. You can review merges in the activity history.

Can I assign leads by city, language or product?

Yes. You can stack rules by source, city or pin code, language, product, project or course, and working hours, with round-robin or weighted distribution as the fallback. You can also set daily caps per person.

What happens if a telecaller doesn't call a new lead?

You set a time limit for first contact. If a lead is still untouched after it, the team lead is alerted and the lead can be reassigned automatically. The report on first-call time shows how fast each person reaches new leads, so speed becomes something you can manage. Our telecalling productivity guide covers how to set realistic targets.

How much does it cost?

Plans are priced per user per month, billed monthly, with every lead-source integration included. There is a 14-day free trial. See pricing for current plans; GST is extra.
