Education CRM

Admissions CRM for enquiry season and beyond

Counsellors call students and parents from their own phones. Every enquiry is routed by course, language and city, and follow-ups run on a cadence until the seat is confirmed or the family says no.

01How admissions really works

A sales pipeline with a deadline

Admissions counselling looks like sales, but the clock is different. A software buyer can come back next quarter. A Class 12 student choosing a BBA program, or a parent picking a NEET coaching batch, decides within a few weeks, and once the batch starts or the counselling round closes, that lead is gone for a year.

So an education CRM in India has to do two things well. It has to help a small counselling team handle a flood of enquiries in peak weeks without dropping any, and it has to keep families warm through the weeks between first enquiry, campus visit, application and fee payment. CRM Dialer is built around the counsellor's phone, because that is where admissions actually happen.

  • Stages you define per program: Enquiry, Counselled, Visit or demo class, Applied, Fee paid, Enrolled
  • Separate pipelines for each campus, course group or coaching centre
  • Every call, WhatsApp message and note on one timeline per family

02The admissions calendar

The year, as your counsellors live it

Results season (typically April to June)
Board and entrance results trigger the biggest enquiry spike of the year. Volume can multiply within days. This is when auto-assignment, daily caps and a dialing queue matter most.
Counselling rounds and cut-off lists
Students hold several options at once. Calling back within the hour, before a competing institute does, often decides where they apply.
Batch start dates (coaching and test prep)
Each new batch creates its own mini-season of demo classes, scholarship tests and "last few seats" follow-ups.
Fee deadline weeks
Applied students who haven't paid need reminders on time: on WhatsApp first, then a call from their counsellor.
The off-season
Fewer enquiries, more time. Counsellors work older leads, next year's droppers and repeat test-takers, and managers review which sources produced enrolments.

03Follow-up cadence

Follow-ups that don't depend on memory

This is a sample cadence many admissions teams start with. You can change the timing, attempts and messages per program.

  1. 01

Day 0: call within the hour

The enquiry lands on the right counsellor's queue and goes to the top. The counsellor confirms the course, city, current class or graduation year and who decides: the student, a parent, or both.

  2. 02

    Day 0: send the brochure

From the outcome screen, one tap sends a WhatsApp template with the program brochure, fee structure link and the counsellor's name, so the family knows who to expect calls from.

  3. 03

Day 1 to 2: second call at a different time

If nobody answered, the retry is scheduled for the evening, when working parents are more likely to pick up. If the student answered, the next call is often with the parent.

  4. 04

Day 3 to 5: invite to campus or a demo class

A booked visit or demo creates reminders for the family and a task for the counsellor. A no-show goes back into the queue for a reschedule call.

  5. 05

    Weekly until a decision

Applied, enrolled or not interested. Every lead ends with a clear outcome and a reason, so you learn why families chose someone else.

04Counsellor allocation

Allocation rules counsellors agree are fair

Nothing causes more friction on a counselling floor than lead distribution. Stack rules in the order that suits your institute; anything unmatched falls back to round-robin.

Most used

By course or program

MBA enquiries go to the PG desk, engineering to the UG team, and JEE or NEET coaching enquiries to the counsellors who know the batch timings and faculty. Each counsellor talks about what they know best, and families notice.

Language

By language

A parent in Madurai may prefer Tamil, one in Patna Hindi. Route on the language captured on the form or by state.

Location

By city or centre

Multi-centre coaching institutes send each lead to the nearest centre's counsellors, who can invite the family for a visit.

Source

By source

Scholarship-test registrations, Facebook leads and website enquiries behave differently. Give each to the counsellors best suited to it.

Peak weeks

Round-robin with daily caps

In results week, caps stop one counsellor drowning while others wait. Leads beyond the cap roll to the next person.

Continuity

Repeat enquiries stay put

If a student enquires again, the lead stays with the counsellor who already knows the family, instead of starting over with a stranger.

06Students and parents

Two decision-makers on every lead

In Indian admissions the person who fills in the form is often not the person who pays. A Class 12 student enquires on Instagram at midnight; the father wants to talk about fees and placements on Sunday morning; the mother asks about hostel safety. A generic CRM treats these as three contacts or loses two of them.

In CRM Dialer you keep both the student's and the parent's numbers on one lead using custom fields, and counsellors can call either from the lead page. Notes record who was spoken to and what they care about, so the next counsellor call picks up the right thread: "Student keen, father worried about fees, call back after salary date."

Duplicate detection helps here too. When a parent enquires separately from their own number, the counsellor can link it to the existing lead rather than starting a second, competing conversation. And because call timing matters so much with working parents, retry rules can push second attempts to evenings and weekends.

For schools, the same approach works with parents as the primary contact. For coaching and test prep, it handles the student who enquires alone and brings a parent in at the fee stage. Read how the telecalling CRM app keeps all of this on the counsellor's phone, and how lead management handles capture and dedupe.

07Peak vs. off-season

One system for the rush and the lull

Admissions teams need different things at different times of year. CRM Dialer handles both without changing tools.

FAQ

Education CRM: common questions

Which lead sources can an education CRM connect to?

CRM Dialer connects Facebook and Instagram Lead Ads, Google Ads lead forms, your website and landing page forms, Google Sheets and CSV or Excel uploads. If an education portal or chatbot can export to a sheet or send a webhook, it can feed leads in through Zapier, Pabbly or our API. See integrations.

Can counsellors call from their own phones?

Yes. Counsellors use the CRM Dialer Android app and call from their own SIM or a college-issued one. Every call is logged against the lead, and managers see talk time and outcomes on the web dashboard. The calling app doesn't work on iPhone, because iOS doesn't allow call-log access.

Can we store both the student's and parent's numbers?

Yes. Add the parent's name and number as custom fields on the student's lead, and call either from the lead page. Notes and call history stay on one timeline for the family.

Can we send fee-deadline reminders on WhatsApp?

Yes, through approved templates on the official WhatsApp Business API via our partner, to contacts who have opted in. Reminders can be tied to a pipeline stage such as Applied, with a follow-up call task for the counsellor if the fee isn't marked paid.

We have multiple campuses or coaching centres. Will it work?

Yes. Use separate pipelines or teams per campus or centre, route leads by city or centre, and give each centre head access only to their own team's leads and reports through role-based access.

Is calling students and parents allowed under DND rules?

Education is one of the categories people can block on the DND register, so scrub any imported lists (CRM Dialer does this on import) and focus calling on families who enquired. Promotional campaigns need registered 140-series numbers. Our compliance guide explains more. This is general information, not legal advice.
